------ Inventory Report ------

An Inventory Report is a complete and comprehensive record of the contents and condition of Elmhurst Accredited Energy Assessor every room/area in the property, including the garden. This will include doors, walls, flooring, ceilings, lights, windows, furnishings, appliances, bathroom suites and kitchen units etc. We comment on the colour and material of each item, and brand names of items if available.

Reports are emailed as an electronic pdf file to the agent/landlord as soon as they are completed. Our aim is to have all reports sent within 2 working days of the inspection. Contact us as soon as you have a tenancy start date so that we can ensure that the report gets to you before it is required for the check-in.

------ Check-in Report ------

Our Check-in service involves collecting keys from the agent, then meeting the tenant at the property on the day of handover, with a copy of the previously prepared Inventory.

We will then check through the report with the tenant, making any amendments as necessary.

Meter readings are taken if access to the meters allows.

The Check-in Report is an accurate description of the condition of the property and contents on the day of handover - depending on the amount of time which has elapsed between the original inventory and the check-in day, this may be different to that stated in the original report and amendments may need to be made.

Once everything has been agreed, the tenant initials each page of the master inventory, and then signs and dates the final page.

We will then make copies of the master inventory, and pass one to the agent and one to the tenant. The Landlord usually holds the original master check-in inventory.

------ Mid-term/Interim Report ------

A Mid-term/Interim Report can be requested by the Landlord/agent at any time during the duration of the tenancy and are typically carried out every 3 to 6 months.

A copy of the original master inventory is not required for this inspection. The purpose of these inspections is to check if the tenants are in serious breach of the tenancy agreement, to ascertain if any urgent maintenance or repair is required, and to give the tenants a chance to raise any problems they are having with the property.

Ideally, a copy of the tenancy agreement should be provided and also a copy of any previous Mid-term report is essential.

Tenants are normally giving at least 14 days written notice of a Mid-term inspection.

We aim to have the completed report sent to the Landlord/agent within 2 working days of the inspection.

------ Check-out Report ------

Once the tenant has vacated the property at the end of the tenancy, we can carry out a check-out visit and make a full inspection against the original master check-in inventory.

Any variations in the condition of the property and contents will be noted.

The basic rule is that tenants cannot be held responsible for normal 'wear and tear', but will be responsible for damage. Wear and tear or damage is assessed on various factors, including the condition of the item at the beginning of the tenancy, the length of the tenancy, and the quality of the item.

If requested, we can offer advice as to whether a particular item is 'wear and tear' or damage.

We will take meter readings providing access to the meters is possible.

We aim to have the completed report sent to the Landlord/agent within 2 working days of the inspection.

Digital Photographs are included in all our reports at no extra cost

Our surveyor provides digital photographs with all reports, whether it is an inventory, check-in,check-out or mid-term inspection and for all size properties, furnished or unfurnished.

Digital photographs are used in support of our written documentation outlining and providing clear evidence for the general condition of a property and its contents, particularly any specific damages. Each photograph is time and date stamped to validate its use.

Photos can be an important addition to any condition report, allowing all parties to ‘see for themselves’, particularly useful to those who are unable to visit the property on a regular basis or simply needs to make an informed decision when employing maintenance and cleaning services.
